Duties and responsibilities of the sponsor of WebEDI suppliers in accordance with the user agreement § 3.11

Introduction WebEDI

WebEDI is a convenient solution for integrating certain suppliers into your own EDI process. In particular, suppliers who either do not use an EDI-capable ERP system or for whom an ERP connection is not worthwhile due to the small number of documents.

Setup WebEDI

Once the WebEDI account has been set up on our platform, the supplier is sent their access data and the myOpenFactory certificate. Once the login has been set up, the supplier can immediately receive and respond to orders. Suppliers are informed by e-mail that their customer has sent an order. A link in this e-mail leads to our portal and the document opens. Now the order can be “answered” with an order confirmation and the customer receives this in the same EDI way as all other order confirmations from their ERP suppliers.

Expenses on the supplier side

This process has one disadvantage for the WebEDI supplier, as they usually have to enter the sent order-confirmations (also shipping notifications and invoices) in their order management system, which means additional work.
In order to increase the acceptance of WebEDI, it is advantageous if the customer can offer this solution to his supplier free of charge.

Sponsoring solution

For this reason, we have developed the “sponsored WebEDI supplier” price model. Here we provide the customer with this function for just 5 euros per month per supplier. This sum only covers the operation of the WebEDI on our platform and naturally does not include any 1st level support services, with the exception of technical support, i.e. 2nd level support.

This means that the customer appoints a key user who familiarizes themselves with the topic and is thus available as a contact person for all 1st level queries from their WebEDI suppliers. We offer an online training course for this purpose, for which we charge 250 euros. Assistance is also provided in the form of our online manual and the FAQ page.

This key user is then the first point of contact for all questions from their WebEDI suppliers, e.g. creating a new user, questions about logging in, problems importing the myOpenFactory certificate, general questions, etc. (1st level). Only if the key user cannot find an answer, or if it is a technical problem (2nd level), does the key user pass the case on to our myOpenFactory support team.
